Te āheinga - The opportunity:
Reporting to the Chief Executive Officer (CEO), the primary purpose of this role is to support our three boards – Te Tāwharau o Te Whakatōhea (TToTW), Te Pou Tahua o Te Whakatōhea (TPToTW) and Te Pou Oranga o Te Whakatōhea Charitable Trust (TPOoTWCT) with administrative tasks directly related to board meetings whilst ensuring compliance.
This role does require occasional weekend work and can be on a part-time or contract basis.
Ngā Kawenga me ngā Mahi – Duties & responsibilities:

Prepare and load all Board Packs for our 3 boards (meetings held monthly or bi-monthly per board)

Complete post meeting minutes and load to BoardPro

Collate all actions as decided in the meetings for the CEO

Prepare, distribute, and maintain accurate records, attendance, minutes and other governance documents.

Ensure compliance with relevant laws, regulations, and organisational policies

Work with the EA and the governance administration team, ensuring meetings are planned, scheduled and run according to the needs of each board
Ngā wheako me ngā pūkenga - Experience & Skills required:

Relevant qualification, such as a certificate in governance or business administration

Previous experience as a secretary within a board
-
Working for a Māori organisation will be highly regarded

Strong administrative and organisational skills

Excellent communication and interpersonal skills
-
Ability to maintain confidentiality and handle sensitive information
-
Flexibility to attend meetings held either during work hours, afterhours or during weekends
-
Proficiency in Microsoft Office, and other governance software
-
Demonstration of cultural principles and values
-
The ability to communicate and understand Te Reo Māori will be highly regarded
